Programme management that refuses to make up a number.
Work plans, approvals, advances, procurement, M&E and interim financial reports in one system. Every figure is traced to its source, and anything never recorded is shown as missing, not as zero.
| Activity | Unit | Budget | Status |
|---|---|---|---|
| 2.1.3 Teacher training, grades 1–3 | PESS-N | $184,000 | Approved |
| 2.2.1 Textbook printing | Curriculum | $412,500 | Step 4 of 9 |
| 3.1.2 School grants, round 2 | Finance | $960,000 | Waiting 12 days |
| 1.4.1 EMIS data audit | Planning | Not recorded | Draft |
No budget was entered for 1.4.1, so the system shows it as missing. It isn't counted as $0 in any total.

| Advance | Holder | Amount | Age |
|---|---|---|---|
| ADV-0142 | Southmere district office | $18,400 | 74 days |
| ADV-0151 | Teacher Training College | $9,250 | 41 days |
| ADV-0158 | Curriculum Unit | $4,100 | 12 days |
Liquidation policy: 60 days. ADV-0142 is overdue and will be flagged in this quarter's IFR.
| IFR line, Q3 | Amount | Source |
|---|---|---|
| Opening designated account balance | $642,180 | Q2 IFR · line 9 |
| Expenditure, Component 2 | $1,204,350 | 38 payments |
| Advances outstanding | $31,750 | 3 advances |
| Exchange difference | Not recorded | rate not entered |
Each amount opens the records behind it. A missing exchange rate is reported as missing, not left out.
Generic tools track tasks. A programme answers to auditors.
Work-management software is built for company teams shipping projects. A project management unit has to account for every dollar of public money to a ministry and a donor, so it needs records that hold up in an audit.
The pre-mission scramble
Every supervision mission starts with days of collecting files from implementing units and reconciling versions by hand.
Numbers without a source
A total in a report can't be traced to the activity, payment or advance behind it. Auditors notice, and so do task teams.
Blanks that look like zeros
A missing value is counted as nothing, so a dashboard looks healthy because nobody entered the bad news.
One system, a different view for each person on the programme.
See every stalled activity before the mission does.
- Portfolio view of every activity, by component, unit and approval step
- Activities waiting on one person, and for how long
- A risk log tied to the activities it affects
- A programme summary built from live records, not compiled by hand
Every number in the IFR traces back to a payment.
- Advances register with ageing against your liquidation policy
- Commitments and expenditure by component and category
- Interim financial report lines that open to their source records
- Missing exchange rates and blank budgets reported as gaps
Results evidence without chasing spreadsheets.
- Results framework with baselines, targets and actuals
- Evidence attached to each indicator value
- Disbursement-linked indicators tracked with the documents behind them
- Values never reported shown as "not reported", not as zero
Your activities, your approvals, nothing else to learn.
- Each unit sees and updates only its own activities
- Clear next step and who is holding it
- When something is out of scope, a plain explanation instead of a blank page
- Built for occasional users: no training manual needed for daily tasks
A live view the programme can't dress up.
- Read-only access to aggregate progress, at no extra cost
- The same figures the programme uses, with their sources
- Gaps disclosed, not hidden
- Fewer requests for updated spreadsheets before each mission
The whole operating cycle of a project management unit.
Built inside a live government education programme with dozens of implementing units, then made configurable for other programmes.

Approval workflow
Your own approval steps, with who acted and when on each one.
Finance & advances
Commitments, advances and their liquidation, ready for interim financial reports.
Procurement & contracts
Procurement plan lines through to contracts, linked to the activities they serve.
M&E indicators

Audit trail
Every change records who made it, when, and what it replaced.
Cost tables (COSTAB), procurement method selection, field monitoring, withdrawal applications and next-project planning are in development. You can try them now in the live demo, where each is labelled.
The assistant cites its source or says it doesn't know.
Role-based assistants for finance, procurement, M&E and reporting. Every answer is checked against your records before it is shown.
Cited or withheld
Every figure in an answer links to the record it came from. If no record supports it, the assistant says so.
People decide
The assistant drafts and explains. Approvals and changes are always made by a named person.
Not used for training
Programme data sent to the AI model is not used to train it. AI can be switched off for a deployment.
No credits to budget
AI is included in the programme licence, so there's no per-seat add-on or usage meter to forecast.
Why programmes outgrow general work-management tools.
| Spreadsheets & email | General work-management tools | projectsmanager.ai | |
|---|---|---|---|
| Pricing | Free, but staff time is not | Per user per month, often with minimum seat counts | One price per programme, unlimited users |
| Approval steps from your financing agreement | By email | Build it yourself with automations | Configured for you at onboarding |
| Advances and liquidation | A separate register | Not built in | Built in, aged against your policy |
| Interim financial reports | Compiled by hand | Not built in | Generated, each line traceable |
| Results framework and indicators | A separate file | Custom fields | Built in, with evidence |
| Missing data | Blank cells summed as zero | Blank fields | Shown as "not recorded", kept out of totals |
| AI | None | Often a paid add-on or credit-metered | Included; answers cited or withheld |
| Where data is hosted | Wherever the file goes | Fixed regions; residency often enterprise-only | Agreed per client, including in-country |
| How you buy | Not applicable | Credit card or enterprise contract | Invoice or PO, sized for simplified procurement |
"General work-management tools" summarises the published pricing and feature pages of leading products, as reviewed in October 2026. Individual products differ, and many can be extended with integrations.

A dedicated deployment for your programme, supported through your next supervision mission.
Three places for a reduced first year.
We're working closely with our first three programmes outside the original deployment. In return for a reduced first-year licence, we ask for regular feedback and a case study once you're running.
What procurement and IT teams ask first.
Can we buy this under our project's procurement rules?
Yes. It is licensed per programme per year and invoiced, so it can be entered in your procurement plan and bought through the method that fits its value. We provide the quotation and documents a procurement committee needs.
Where is our data hosted?
Hosting region is agreed with you before deployment. Each programme has its own deployment. Where law or ministry policy requires data to stay in the country, in-country or client-hosted deployment is available.
Do we pay per user?
No. The licence covers unlimited users, including implementing units and read-only donor users.
Can we import our existing work plan?
Yes. Onboarding starts by loading your current annual work plan and unit list from the spreadsheets you already use.
What happens to our data if we stop?
You receive a full export of your records and audit trail. We then delete the deployment and confirm in writing.
Is the AI optional?
Yes. It can be switched off for a deployment. When it is on, answers are checked against your records and cite their sources.
